Additional instruction for organizers and speakers of symposia, organized sessions, workshops, and forums

The proposals for symposia, organized sessions, workshops, and forums must be completed through the online registration system by 17:00 (JST), Tuesday October 31, 2017. The registration process needs to be carried out by both organizers and speakers. As it is slightly complex, here we show the process in each category.
Co-organizers who don’t have presentation nor official comments requiring abstract registration in their symposium or organized session will be treated same as main organizers. This means the co-organizers can be speakers or organizers of only workshop/forum. Please note that there is the possibility that a planned workshop could be rejected
– If the number of workshop proposals exceeds the capacity of the venue, we will first decline workshop proposals from organizers who submit an organized session and/or more than one workshop proposals, and then those from organizers who submit a symposium proposal. (Second circular)

Symposia

Proposals for symposia have already closed. Applications are limited to the proposals adopted by the planning committee.

1) Speakers
– Non-ESJ members are required to acquire login ID in advance (Choose “non-members” in the first page of the registration system). After getting login ID, please log in and finish the registration (enter your applicant information) by the time when the organizer will submit the proposal.
– ESJ members are required to log in by using the membership ID and finish the registration (enter your applicant information) by the time when the organizer will submit the proposal.
– Please inform the organizer of your membership ID (or login ID for non-member).

2) Main organizer
Please enter the following information for proposals.
– Title of the symposium, names and affiliations of all organizers, and the abstract.
* The space for “The name of the non – member” does not need to be filled out.
– Titles of each presentation, names, affiliations and membership ID (or login ID for non-ESJ members) of all speakers
* Please make an agreement about the titles prior to the registration.
* Co-authors of each presentation cannot be entered here. Speakers will be requested to register information about their co-authors in the next steps.
* Information up to here will appear in the Program Book. Please make sure all of the co-organizers are registered.
* As soon as you finish the registration above, speakers will receive an auto-email titled “[ESJ65] Speaker request(New)”.
* Note that organizers should leave enough time for speakers to register.

3) Speakers
– Please register names and affiliations of all co-authors following the request email ([ESJ65] Speaker request(New)). Note that the speaker will not be able to change the title of the presentation which was registered by the main organizer.
* Information here will appear in the Book of Abstracts. Please make sure all of the co-authors are registered.
* The deadline for this registration is October 31, 2017.
* Registrations of abstracts will open for each speaker after this registration. The deadline for the abstracts is Feb. 14, 2018.

4) Organizers and ESJ member speakers
For both organizers and speakers who are ESJ members, please perform further procedures for banquet application and payment of participation/banquet fees.

5) Non-ESJ member speakers
For non-ESJ member speaker invited by ER (ER Invited Speaker), both registration and banquet are free. Application for the banquet is not necessary.
For other non-ESJ member speaker, registration for the meeting is free. Please follow the instruction and register for the banquet and pay the banquet fee only.

Organized sessions

1) Speakers

Workshops

1) Please enter the following information for applications.
– Workshop title, names and affiliations of all organizers and the abstract.
* The space for “The name of the non – member” does not need to be filled out.
– Title of each presentation, and name and affiliation of each speaker.
* All speaker’s names including co-authors can be entered.
* Information up to here will appear in the Program Book.
*Speakers themselves don’t need to register their presentation title and abstract.
2) The organizers perform further procedures for banquet application and payment of participation/banquet fees.
3) Organizer/speaker who is also an organizer/speaker in other session, please register it too.
4) For all speakers (regardless of the membership) who plan to join other conference events as audience, please perform the application and payment procedures for participation/banquet.

Forums

Applications are limited to the proposals adopted by the ESJ.
