60th Annual Meeting of Ecological Society of Japan (ESJ60)

The 60th Annual Meeting of the Ecological Society of Japan (abbreviated as ESJ60) will be held by the organizing committee and annual meeting planning committee as follows.

Outline of the meeting

The meeting features public lecture, symposia, forums, oral and poster presentations, organized sessions, workshops, business meetings, award recipient lectures and banquet.

Registration for participation, application for oral and poster presentations, and proposals of organized sessions and workshop will be accepted on the official web site: Please refer to “Process of registration” for details.

Any person who wishes to attend the meeting is invited to register on the official web site. However, applicants for oral and poster presentations and organizers of symposia, organized sessions and workshops should be members of the Ecological Society of Japan. To present papers or to organize meetings, membership dues for the year 2012 should be paid. If you are not an ESJ member, please fill and send the Membership Application Form and pay the dues for the year 2013 by the October 31, 2012. A Program Book of the meeting will be sent around February, 2013 to all the members of the ESJ except for those in arrears with the membership dues. Please pay the dues in advance by the end of December, 2012 to receive the book.

The Program Book will not be sent to non-member registrants. Please read the program on the official website which will appear around February, 2013 or the Book of Abstracts which will be available both on the official website and on-site selling.

Venue and schedule

The meeting will be held in Shizuoka Convention & Arts Center (Granship) from Tuesday, March 5 to Saturday, March 9, 2013. Main events are tentatively planned as follows. However, the schedule may be altered depending on the numbers of proposals of symposia, organized sessions, and workshops. Details will be announced on the official web site.

Process of registration

Firstly, please apply for the participation in the registration system linked from the ESJ60 official web site (http://www.esj.ne.jp/meeting/60/). Registration system will be available from the end of October.

The registration number issued in this procedure and your password are necessary for payment of the fees, submission of the abstract of your presentation, contacts, and reissuing confirmation e-mail. Please record and hold them by the time.

If you wish to give an oral or a poster presentation, please apply for the presentation at the same time. The deadline of registration is November 8. 2012. 17:00 (JST). If you are decided to talk at a symposium or an organized session, please apply only for the participation in the meeting, because the organizer of the symposium or the organized session will register your presentation instead of you. Notice that you cannot register the abstract of your talk unless you’ve finished registration for the participation in the meeting.

If you wish to purchase the Book of Abstracts, mark the check box of “wish to purchase the Book of Abstracts” on the application form of registration system. Refer to “The fees for registration and banquet, membership dues and payment” for details.

*1: Registration fee (not including banquet fee) can be waived for invited speakers with approval from the organizing committee.

*2: Cases only limited with approval from the organizing committee

*3: It is not necessary for a workshop presenter to have an ESJ membership. You do not need to pay participation fee if you only attend or give a presentation in a workshop.

*4: High school students can apply for a membership either A, B or C. Participation fee will be waived for poster presenters of high school student and their leaders.

Commentators are not necessary to have any type of ESJ membership.

Deadlines

Deadlines for proposals, applications and submission are as follows

For those who are not an ESJ member, but are supposed to be a presenter or to be a symposium, forum or workshop organizer

  • The membership application deadline: Wednesday, October 31, 2012, 17:00 (JST)
  • Payment of membership fee for 2013: Wednesday, October 31, 2012, 17:00 (JST)

Application for symposium, workshop, oral and poster presentation: Friday, November 8, 2012; 17:00 (JST)

  • Abstract submission: Monday, January 7, 2013, 17:00 (JST)
  • Early registration: Friday, January 11, 2011, 17:00 (JST)
  • Presentation files submission: Few days before the meeting.

These applications will be accepted from about one month before the deadline. However, the schedule may be altered depending on the circumstance. Details will be announced on the official web site.

The fees for registration and banquet, membership dues and the payment

Registration fee (NOT including a copy of Book of Abstracts)
By Friday, January 11, 2013:

  • Regular member (including non-member) 8,000 yen
  • Students (including non-member) 5,000 yen

On site:

  • Regular member and non-member (except for students) 9,000 yen
  • Students (including non-member) 6,000 yen
  • Undergraduate and High school students: No fee, but student ID should be presented. The detailed information (in Japanese) was updated (18 Jan 2013).

The Book of Abstracts

  • Regular member and non-member (except for students) 3,000 yen
  • Students (including non-member) 2,000 yen

Banquet

  • Regular member and non-member (except for students) 7,000 yen
  • Students (including non-member) 5,000 yen

The member means an ESJ member who paid the due for the 2012 year. Those who will be a new member in 2013 should send application form before October 31, 2012, 17:00, and finish the payment of membership dues before October 31, 2012. Refer to “Outline of the meeting” for details on joining ESJ.

Please do not confuse the membership dues with the participation fee.

After you have finished the registration process, please apply for the online payment system which is provided by the JTB AMARYS, https://amarys-jtb.jp/esj60/. You will be asked to fill the registration number at the payment process. Select one of the payment methods from (1) via credit card, (2) at a convenience store or (3) via bank transfer. Details are shown in the AMARYS system. We regret that information on the online payment by credit card is available only in Japanese. Those who cannot use either of the payment methods (1) – (3) above are to pay their registration fee on site (venue) during the meeting. Notice for the book of abstract:
To save your costs as well as natural resources, we will not include the cost of the Book of Abstracts within the participation fee (registration fee). Therefore, if you wish to purchase the paper book, when applying for the participation in the registration system please mark the check box of “wish to purchase the Book of Abstracts”. An extra charge of 3,000 yen for regular participant or 2,000 yen for student participant will be added to your payment.

You can access and download the Book of Abstract in PDF or you may choose to read HTML, from the homepage of ESJ 60. The digital book can be also accessed from your cell phone or smart phone through internet.

The program book will be sold on-site at the meeting, but you are encouraged to send a purchase order as indicated above in case you do need the paper book, since the number of the on-site selling book is limited.

We appreciate your understanding on the extra charge of the paper book, but our purpose is to reduce the participation cost for most participants, and also to reduce consumption of natural resources.

Oral and poster sessions

ESJ members are invited to give a presentation in either oral or poster sessions. Please choose your preference for the presentation style (oral or poster). However, in case of limited space and time, we may ask you to change your presentation style (oral or poster).

We solicit oral presentations in English for providing ESJ members with opportunities to talk and discuss in English and also to communicate with those who do not understand Japanese.

For assigning rooms and times for oral presentations and sorting poster presentations appropriately by the contents of presentations, please choose three or less sections from the most preferable in the following list.

Notice

  • Speaker (or main contributor at poster sessions) of each presentation has to be the Class-A or B member of the ESJ (co-authors need not be ESJ members).
  • Each ESJ member is allowed to represent only one oral or poster presentation as presenter (she/he can co-present more than one).
  • Oral and poster presentations are closed to organizers and speakers in symposia. These restrictions are imposed for sharing limited resources (space and time).

Preparing oral presentations

Session rooms are equipped only with an LCD projector and a Personal Computer. No overhead projector and slide projector are available. The use of your own PC is not acceptable. Details will be posted on the official website.

Preparing poster presentations
Each poster will be mounted on a 90cm width by 210cm height poster board. Poster session will be conducted in two or three sections. About 1200 posters are expected to be acceptable. We may ask you to move to oral presentation if the applications for poster presentation exceed the capacity.

To improve the exchange with participants from abroad who may have difficulty in Japanese, we encourage you to prepare your poster all or partly in English.

Poster award

The Ecological Society of Japan (ESJ) will give awards to young researchers presenting excellent posters. Each winner must be the principal author of the poster presentation. Undergraduate, graduate students, or those young scientists without doctoral degree before November 8, 2012 are eligible to apply for Poster Award ESJ60. Award winners in an earlier ESJ annual meeting (including the joint annual meeting with EAFES) cannot apply for the award. Details will be printed on the Program Book and posted on the official website. Please prepare your poster, taking care of the points shown in the document.

Banquet

Enjoy the banquet at Shizuoka Convention & Arts Center on Friday, March 8, 2013. The banquet will start from 17:00. We welcome many participants.

Day nursery

A day-care center will be open in Shizuoka Convention & Arts Center. Details on available time and application will appear on the official website of the ESJ60.

Ecocup 2013

A competition of futsal games, Ecocup 2013 is planned as a satellite program. It is managed by an independent organizing committee for Ecocup 2013. Please refer to the official website of Ecocup 2013 Shizuoka.

Accommodation and Transportation

You are encouraged to use public transport system to reach the venue, Shizuoka Convention & Arts Center. The closest station to the center is JR Higashi-Shizioka station, which is 3 minutes away from Shizuoka station by train. It is only 3 minutes also by walk from the Higashi Shizioka station to the main entrance of the convention center.

You need to book your accommodation yourself for the meeting. We suggest you to find your accommodation around the JR Shizuoka station, or Shimizu Station, Yaizu Station and Fujieda Station along the JR Tokaido line. To ensure your preferred option, we encourage you to book your accommodation early.

We will provide the information for lunch box during the meeting. You are encouraged to order a lunch book since we have very limited restaurants for lunch near the venue. Detailed information can be found in the homepage of the meeting.
