* ESJ67 follows some changes made from the last meeting (Reorganization of symposium and workshop sessions, issuing workshop tickets, unnecessary pre-applications of symposia and the English Presentation Award, Partnership with the Molecular Biology Society of Japan, MBSJ).

Correction

The first circular explains the deadline for payment of the membership fee as follows: “If you are not an ESJ member, you need to join the ESJ and pay the 2020 membership fee before you register your presentation by the deadlines above”. This was an error. We apologize, and corrected it to "… you need to join the ESJ before registering your presentation by the deadlines above and pay the 2020 membership fee by February 12, 2020".

Main Modifications

Putting a ceiling on the number of poster presentations

Because the number of poster award applicants has increased year by year, finally exceeding 500 in the ESJ66, it is hard to reserve venues that can simultaneously display that many posters per day in one place. Securing judges is also becoming accordingly difficult. Thus, we set the maximum number of applications for award application and general (i.e., non-applied) poster presentations at ESJ67 to 500, respectively (i.e., 1000 posters in total). We will handle the applications on a first-come-first-served basis. If the award applications reach the upper limit, general poster or oral presentations can be selected as an alternative. If both award and general poster applications reach the upper limit, only oral presentations can be selected.

Simultaneously, we will take proper care to ensure that students and young researchers do not to lose their opportunities to give presentations. We will secure 1,000 presentation opportunities for poster award applications and general poster presentations (cf. ESJ66: 918, ESJ65: 895, ESJ64: 955). We will improve the application system so that the numbers of poster applications for awards and general can be conveniently displayed in real time.

Thank you for your understanding regarding the sustainable operational management for future annual meetings of the ESJ.

Clarification of the rules for forums

ESJ members can participate in forums freely, regardless of the annual meeting application. Please check the Forum section for details, including participation and presentations by non-ESJ members.

Visa Application

  • Holders of passports from China, India, Russia, the Philippines, Indonesia, NIS countries, and other nations that do not have visa exemption agreements with Japan may require an entry visa to Japan and should confirm whether they require a visa. This can be checked through “Guide to Japanese Visa” on the website of the Ministry of Foreign Affairs of Japan.
  • Note the standard processing period for visa applications is 5 working days. The ESJ office will provide necessary support for documents needed from Japan. If you require a letter of invitation to support your visa application, you must first register to attend the ESJ67.
  • Once you receive your registration confirmation email, please email your request to the ESJ office (office@mail.esj.ne.jp ) for a letter of invitation.
  • Documents required for the visa application vary depending on the applicant’s nationality. Please check the website of the Ministry of Foreign Affairs of Japan.
  • The ESJ office will only issue the documents, “Reasons for Invitation” and “Itinerary,” for participants who must apply for a visa.
